Getting Started
Can I invite team members to my CoreHub or project?
Yes! You can invite team members to your CoreHub by going to your CoreHub settings and adding them via their email address. Once invited, they can access your CoreHub and all its projects. Within individual projects, you can organize team members into teams and assign them to specific tasks. This gives you flexibility to manage who sees what across your workspace.
How do I create my first project?
First, you need to create a CoreHub (your workspace/organization). After signing up and creating your CoreHub, you'll be taken to your dashboard. From there, click the "New Project" button available on the projects page and fill in the project details including title, description, start date, due date, and budget. You can also set a project reference code (e.g., "TL" for TaskLemon) which automatically generates task IDs. After creating a project, it will be initialized with default task statuses, priorities, and types.
How do I import my existing tasks or data?
Currently, TaskLemon supports manual task creation through the dashboard. However, we're working on import features for upcoming releases. For now, you can use our API or contact our support team if you need help migrating from another tool. We recommend starting with your most urgent projects and adding tasks as you go.
Is there a limit to how many projects I can create?
On the Free plan, you can create 1 project. Startup plans include up to 15 projects, and Growth plans support unlimited projects. If you need more projects on the Free plan, consider upgrading to a higher tier to unlock additional capacity.
What do I need to get started with TaskLemon?
You need an email address and password to create a TaskLemon account (no credit card required for the Free plan). After registration, you'll be prompted to create a CoreHub, which is your workspace where you and your team will collaborate. Once your CoreHub is set up, you can immediately create projects and start managing tasks. If you want to explore premium features, you can upgrade to a Startup or Growth plan anytime.
What is a CoreHub and how does it work?
A CoreHub is your workspace or organization in TaskLemon. When you sign up, you'll create a CoreHub which serves as the container for all your projects, team members, and data. You can create multiple CoreHubs if you manage different organizations or departments. Each CoreHub has its own set of projects, teams, and settings. You can switch between your CoreHubs from the dashboard. Your plan type (Free, Startup, or Growth) applies to each CoreHub individually.
What is a task reference code and why do I need it?
A task reference code is a short abbreviation (1-4 characters) for your project that's used to generate unique task IDs. For example, if you set "TL" as the reference code for your "TaskLemon App" project, your tasks will be numbered TL-1, TL-2, TL-3, etc. This makes it easy to reference tasks in conversations and documentation without needing full URLs.
Features
Can I add comments and attachments to tasks?
Yes! You can add comments directly to tasks to discuss details with your team. Comments support rich text formatting and you can mention team members using the @ symbol. You can also attach files and images to tasks, making it easy to share context, mockups, documents, and other files without leaving the platform.
Can I set task start dates and due dates?
Absolutely! Each task can have a start date and due date. This helps you visualize your project timeline and keeps everyone aware of deadlines. Your dashboard and project views highlight tasks that are overdue or coming up soon, helping you stay on top of schedules.
How do subtasks work and why should I use them?
Subtasks help you break down complex tasks into smaller, manageable work items. Each subtask has its own title, completion status, and can be assigned to team members. You can track progress with a completion percentage, and subtasks help your team understand exactly what needs to be done. Subtasks are especially useful for large tasks that require multiple steps.
How do task types help organize my work?
Task types categorize different kinds of work—such as Bug, Feature, Documentation, or Design. They help you distinguish between different types of tasks and can be filtered in your task views. You can create custom task types for your team's workflow, making it easier to understand what kind of work each task represents.
What are tags and how can I use them?
Tags are flexible labels you can apply to tasks to organize and filter them across multiple projects. Unlike statuses or types, tags allow cross-cutting categorization—for example, you might tag tasks as "urgent", "customer-facing", or "Q4-priority". You can filter by tags to quickly find all related tasks regardless of which project they're in.
What are task priorities and statuses?
Task priorities (Low, Medium, High, Urgent) help you and your team understand what needs attention first. Statuses (To Do, In Progress, Review, Done, etc.) show where a task is in its workflow. You can customize task statuses for each project, and you can create custom priority levels too. Both help keep your team aligned on what's important.
What is the Kanban board and how do I use it?
The Kanban board is a visual way to organize and track your tasks by status. Tasks appear as cards organized into columns representing different statuses (e.g., To Do, In Progress, Done). You can drag and drop tasks between columns to update their status, and you can create custom statuses that match your workflow. This view is perfect for understanding project progress at a glance.

Can I request a new feature?
We love hearing feature requests! You can submit ideas through the feedback form in the app or email us at ideas@tasklemon.com. Our product team reviews all suggestions and considers them for future releases. Popular requests with many votes get prioritized in our development roadmap.
How do I get help if something isn't working?
If you encounter an issue, please contact our support team through the in-app help menu or email assist@tasklemon.com. We typically respond within 24 hours during business days. When reporting an issue, include details about what you were doing when the problem occurred, your browser or device, and any error messages you see. This helps us resolve your issue faster.
How often is TaskLemon updated?
We release new features and improvements regularly, typically every 2-4 weeks. Bug fixes are deployed as needed, sometimes multiple times per week. You'll receive notifications about major updates and new features. All users automatically get the latest version—no manual updates required.
Is there a status page to check for downtime?
Yes! You can check TaskLemon's status and uptime at status.tasklemon.com. We maintain 99.9% uptime and notify users immediately if any service disruptions occur. You can subscribe to status updates to receive alerts about any incidents or scheduled maintenance.
Is there documentation or tutorials available?
Yes! TaskLemon includes built-in help throughout the interface, and you can access our comprehensive documentation at docs.tasklemon.com. We also offer video tutorials for key features on our YouTube channel. If you still have questions, our support team is always happy to help.
What if I want to report a bug?
Please report any bugs to our support team or use the feedback form in the app. Include as much detail as possible: the steps to reproduce the bug, what you expected to happen, and what happened instead. Screenshots or screen recordings are incredibly helpful. We take all bug reports seriously and prioritize fixes based on impact.
Billing & Plans
Can I upgrade or downgrade my plan anytime?
Yes! You can upgrade to a higher plan anytime from your billing settings, and you'll have access to new features immediately. Downgrading is also available—if you downgrade, you'll keep your current data and the change takes effect on your next billing cycle. If you exceed the limits of your new plan, we'll guide you on what to adjust.
Do I need to provide a credit card for the Free plan?
No! The Free plan requires only an email address and password. No credit card needed. You can use all Free plan features indefinitely without any payment information. If you want to upgrade to Startup or Growth, you'll be asked for payment at that time.
How does billing work? Do you charge monthly or annually?
We offer both monthly and annual billing options. Monthly billing charges you on the same date each month. Annual billing requires 12 months upfront but typically includes a discount (usually 15-20% off compared to monthly rates). You can change your billing cycle anytime in your account settings.
Is there a discount for annual billing?
Yes! Annual plans typically offer 15-20% savings compared to paying monthly. For example, the Startup plan annual rate works out to about $25/month when paid yearly. The discount varies by plan and is clearly shown when you switch to annual billing. It's a great way to save while committing to TaskLemon.
What happens if I delete a task on different plans?
On the Free plan, deleting a task permanently removes it immediately with no recovery option. On Startup and Growth plans, tasks are archived for 30 days and 6 months respectively, giving you time to restore them if needed. After the retention period expires, archived tasks are permanently deleted. You can manually restore archived tasks anytime before the period ends.
What if I exceed my project limit on the Free plan?
The Free plan allows 1 project. If you want to create more projects, you'll need to upgrade to Startup (15 projects) or Growth (unlimited projects) plan. Our team can help if you need to discuss your options.
What's the difference between the Free, Startup, and Growth plans?
The Free plan includes core task management for 1 CoreHub and 1 project with unlimited team members. The Startup plan ($29/month) adds advanced analytics, up to 15 projects, and a 30-day archive period for deleted tasks. The Growth plan ($79/month) includes everything in Startup plus unlimited projects, unlimited storage, 6-month archive retention, advanced reporting, and API access. All plans include drag-and-drop Kanban boards and real-time collaboration.
Account Management
Can I have multiple emails linked to my account?
Currently, each TaskLemon account has one primary email address. However, if you need to receive notifications or communications at multiple addresses, you can set up email forwarding at your email provider level. We're considering adding secondary email support in future releases.
Can I use the same email for multiple TaskLemon accounts?
No, each email address can only be associated with one TaskLemon account. If you need multiple accounts for different organizations, consider using different email addresses or creating team members within your existing organization. If you need to merge accounts, please contact our support team.
How do I change my password?
Go to your account settings and select "Security". Click "Change Password" and enter your current password followed by your new password (twice to confirm). We require passwords to be at least 8 characters and recommend using a mix of uppercase, lowercase, numbers, and symbols for better security. After changing your password, you may need to log in again.
How do I delete my account?
You can delete your account from your account settings under "Danger Zone". Note that deleting your account will remove all your data permanently and cannot be undone. If you're part of a team or own a CoreHub (organization), you'll need to handle team member transfers or organizational changes before deletion.
How do I enable two-factor authentication?
In your account security settings, you can enable two-factor authentication (2FA) to add an extra layer of protection. We support authenticator apps (like Google Authenticator or Authy) and SMS-based 2FA. When enabled, you'll need to provide a code from your chosen method in addition to your password when logging in.
How do I reset my password if I forgot it?
On the login page, click "Forgot your password?" and enter your email address. We'll send you a password reset link via email. Click the link and follow the instructions to create a new password. The reset link expires after 1 hour for security reasons. If you don't receive the email, check your spam folder or contact support.
How do I update my profile information?
In your account settings, you can update your name, email address, and profile picture. You can also set your timezone and language preferences, which affects how dates and times are displayed throughout the app. Changes take effect immediately.

Collaboration
Can I mention someone in a task comment?
Yes! When adding a comment to a task, type @ followed by their name to mention them. They'll receive a notification letting them know they were mentioned. This is great for drawing attention to comments or asking specific questions to team members. You can mention multiple people in a single comment.
Can I see what my team is working on?
Yes! You can view your team's workload in the Projects dashboard. Each project shows task progress, team member assignments, and upcoming deadlines. You can filter tasks by assignee, status, priority, and more to understand exactly who is working on what. Project managers can use the analytics view for more detailed insights.
Can I share a project with someone outside my organization?
If your organization is on Startup or Growth plan, you can invite external collaborators via their email address. They'll be added as team members with the same permissions as internal team members. On the Free plan, you can only share projects with members already in your organization.
How do I assign a task to a team member?
Open the task and click on the "Assignee" field. Select the team member you want to assign it to from the dropdown. You can assign a task to one or multiple team members. Once assigned, the team member will receive a notification and the task will appear in their task list. You can also assign tasks from the Kanban board by using the task's context menu.
How do I export task data or share it with others?
You can generate reports from your project dashboard which can be exported as PDF or CSV files. These reports include task summaries, progress metrics, and team workload. You can also share read-only project views via a shareable link (available on Startup and Growth plans). For detailed data exports, Growth plan users have access to our API.
How do notifications work?
You'll receive notifications when tasks are assigned to you, when you're mentioned, when a task you're assigned to changes, and when comments are added to tasks you're watching. You can customize notification preferences in your settings to receive email, in-app, or both. You can also mute notifications for specific projects if needed.
How do teams work in TaskLemon?
A team is a group of people who collaborate on tasks within a project. You can create multiple teams within a project, assign team members to teams, and organize work by team. Teams help you structure larger projects and ensure clear responsibility. For example, you might have a "Frontend" team and a "Backend" team working on different parts of the same project.
Security
Can I control which devices can access my account?
Yes! In your security settings, you can view all active sessions and devices that are logged into your account. You can sign out of specific devices remotely or sign out of all devices at once. This is helpful if you've accessed your account from a device you no longer use or if you're concerned about unauthorized access.
Can I use TaskLemon with a VPN?
Absolutely! TaskLemon works perfectly with VPNs. Using a VPN adds an extra layer of security when accessing TaskLemon from public networks. Just make sure your VPN doesn't block our services. If you experience connection issues while using a VPN, try temporarily disabling it to isolate the problem.
How does TaskLemon handle data privacy?
TaskLemon is compliant with GDPR, CCPA, and other major privacy regulations. We collect only necessary data and give you full control over your information. You can request a copy of your data, update it, or request deletion at any time. Our Privacy Policy (available at tasklemon.com/privacy) provides full details about data handling.
Is my data secure on TaskLemon?
Yes, security is our top priority. All data is encrypted in transit (HTTPS/TLS) and at rest using AES-256 encryption. We perform regular security audits, maintain SOC 2 compliance, and follow GDPR and CCPA regulations. Your data is backed up daily with redundancy across multiple secure locations. We never share your data with third parties without your explicit consent.
Is TaskLemon GDPR compliant?
Yes, TaskLemon is fully GDPR compliant. We process personal data only with explicit consent, provide data portability, support right-to-be-forgotten requests, and conduct privacy impact assessments. If you have GDPR-specific questions or need a Data Processing Agreement (DPA), please contact legal@tasklemon.com.
What happens if there's a security breach?
TaskLemon has multiple layers of protection against breaches. In the extremely unlikely event of a security incident, we will notify affected users within 24 hours and provide guidance on protective steps. We maintain cyber insurance and have incident response procedures in place. Your data is never shared without your knowledge.
Who can see my tasks and projects?
By default, only your team members and those you explicitly invite can see your projects and tasks. You control who has access through role-based permissions. Project managers can view everything, team members see tasks assigned to them or in their teams, and guests can have read-only access. You can adjust permissions for each team member individually.
Best Practices
How can I track project progress effectively?
Use task statuses to reflect your workflow and update them consistently. Track completion percentage on tasks with subtasks. Review your dashboard weekly to see overall project health. Use filters and views to focus on specific areas. On Startup and Growth plans, use the analytics features to visualize progress over time. Share progress reports with stakeholders regularly.
How do I keep my team on the same page?
Use clear task descriptions and acceptance criteria so everyone understands what "done" looks like. Leave comments with context and decisions directly in tasks. Hold regular team syncs to discuss progress and blockers. Use project dashboards to maintain visibility. Mention people in comments to ensure they see important updates. Consistent communication in tasks reduces back-and-forth emails.
How often should I check my task list?
At minimum, review your task list at the start of each day to understand your day's priorities. Many teams have a brief daily standup where they review tasks together. At the end of the week, review what was accomplished and update tasks for the coming week. More frequent check-ins during critical project phases help maintain momentum.
How should I name my tasks for clarity?
Use clear, action-oriented task titles (e.g., "Design login form" instead of "Login"). Start with a verb when possible. Keep titles concise but descriptive enough that someone can understand what the task is about without opening it. Use the description field for additional context and requirements. Reference codes automatically added to task IDs help with quick identification.
Should I use subtasks or separate tasks?
Use subtasks for work that's part of a larger task and doesn't make sense as a standalone item. For example, "Design button styles" could be a subtask of "Design login form". Use separate tasks when the work is independent or spans multiple projects. Subtasks help maintain focus by grouping related work together.
What's the best way to handle recurring tasks?
For truly recurring tasks, create them fresh each cycle so they show current deadlines and team assignments. You can create a task template in your notes and duplicate it as needed. If you have many recurring tasks, consider using the API (Growth plan) to automate creation. Update recurring tasks weekly in team meetings to keep them current.
What's the best way to organize my projects?
Organize projects by initiative, client, product, or team depending on your organization's structure. Use descriptive project names and add clear descriptions. Break large projects into smaller, focused projects rather than one massive project. Use task types and tags to add additional categorization. Set realistic start and end dates to help with planning.
What's the ideal task priority distribution?
Most tasks should be Medium priority. High priority tasks should be those that block other work or have imminent deadlines (roughly 15-20% of tasks). Urgent tasks should be rare and reserved for critical issues (less than 5%). If everything is high priority, prioritization becomes meaningless. Use priorities strategically to highlight what truly needs immediate attention.
